# RFQ Dashboard

BuilderTek RFQ is designed to keep the entire bidding process connected. Instead of navigating between multiple modules, many of the actions required during bidding can be completed directly from the RFQ Dashboard.

The following section explains each area of the RFQ Dashboard and its purpose within the preconstruction workflow.

#### <mark style="color:$primary;">**1. RFQ Number**</mark>

Every RFQ is assigned a unique BuilderTek reference number.

This number serves as the primary identifier for the RFQ and can be used to quickly locate the record within BuilderTek.

Below the RFQ number, you will typically see the related Walkthrough, Project, or Quote associated with the RFQ. This allows users to immediately understand the context of the bid request and identify which project or scope of work it belongs to.

As the project progresses, this RFQ number will remain connected to all related records, providing complete traceability throughout the bidding process.

#### <mark style="color:$primary;">**2. Create Purchase Order (PO)**</mark>

The "Create PO" button allows you to generate a Purchase Order directly from the RFQ.

Once a vendor has been selected and awarded the work, you can create a Purchase Order without leaving the RFQ module.

This streamlined workflow eliminates unnecessary navigation between modules and helps maintain continuity throughout the procurement process.

The Purchase Order automatically remains linked to the RFQ, creating a complete record of the vendor selection and award process.

#### <mark style="color:$primary;">**3. Edit RFQ**</mark>

The "Edit" button allows you to modify the RFQ details at any stage of the bidding process.

Clicking "Edit" opens a detailed configuration window where you can update information such as:

* Project assignment
* Vendor information
* RFQ amount
* Awarded vendor details
* Due dates
* Anticipated dates
* Opportunity information
* Public documents
* Related project information

Any updates made through this window are automatically reflected throughout the RFQ record.

This flexibility allows teams to adjust project requirements as additional information becomes available during the bidding process.

#### <mark style="color:$primary;">**4. Delete RFQ**</mark>

The "Delete" option permanently removes the RFQ from BuilderTek.

While BuilderTek provides extensive editing capabilities that often eliminate the need to start over, the Delete option remains available when an RFQ was created incorrectly or is no longer required.

Use this option carefully, as deleting an RFQ removes the associated bidding record from the system.

#### <mark style="color:$primary;">**5. Related Quick Links**</mark>

One of BuilderTek's most powerful features is the ability to access connected records directly from the current module.

At the top of the RFQ Dashboard, you will find Quick Links for related records such as:

* Walkthroughs
* Purchase Orders
* RFQ Lines
* Contracts
* Vendor RFQs
* Files

These Quick Links provide immediate access to information connected to the current RFQ.

When you hover over a Quick Link, BuilderTek displays additional details and actions, allowing you to:

* Open related records
* View associated items
* Create new records
* Access settings
* Navigate directly to connected modules

This significantly reduces navigation time and keeps project information easily accessible.

#### <mark style="color:$primary;">**6. Walkthrough Quick Link**</mark>

The Walkthrough Quick Link displays the Walkthrough associated with the RFQ.

Because RFQs are often created directly from approved Walkthroughs, this link provides a quick way to return to the original scope documentation.

From this link, users can review:

* Walkthrough sections
* Scope items
* Notes
* Photos
* Supporting documents

This ensures complete visibility into the information that was used to create the RFQ.

#### <mark style="color:$primary;">**7. Details Tab**</mark>

The "Details" tab contains the administrative information related to the RFQ.

Typical information includes:

* RFQ Name
* Owner
* Status
* Vendors
* Dates
* Amounts
* Project Information
* Approval Status

This section provides a complete summary of the RFQ and its current stage within the bidding process.

Individual fields can be updated directly by clicking the edit icon next to the corresponding item.

#### <mark style="color:$primary;">**8. Related Tab**</mark>

The "Related" tab provides a consolidated view of all records associated with the RFQ.

Common related records include:

* Walkthroughs
* RFQ Lines
* Purchase Orders
* Contracts
* Vendor RFQs
* Files
* Service Requests
* RFIs (Requests for Information)

From this screen, users can create new records, edit existing records, and review all connected information without leaving the RFQ.

#### <mark style="color:$primary;">**9. Lines Tab**</mark>

The "Lines" tab displays all line items included in the RFQ.

From this view, users can:

* Review RFQ scope items
* Edit line details
* Add new lines
* Delete lines
* Review quantities and descriptions

If images were attached to the Walkthrough lines used to create the RFQ, those images remain available here as well.

By opening an individual line item, users can view attached photos, notes, and supporting information that will also be available to vendors during the bidding process.

This ensures everyone involved is working from the same project information.

#### <mark style="color:$primary;">**10. Public Documents**</mark>

The "Public Documents" section is used to store and share supporting documentation with vendors.

Examples include:

* Plans
* Drawings
* Specifications
* Certifications
* Scope documents
* Supporting project files

To upload documents:

1. Create a new folder.
2. Enter a folder name and description.
3. Save the folder.

4. Select "Manage Files".
5. Upload or select existing files.
6. Save your changes.

All uploaded files will become available within the RFQ and can be shared with participating vendors.

#### <mark style="color:$primary;">**11. Review Dashboard**</mark>

The "Review" tab is the primary workspace where the bidding process takes place.

This area contains the core actions used throughout the RFQ lifecycle.

Key functions include:

1. <mark style="color:$tint;">**Add Vendor:**</mark>

Add vendors who will receive the RFQ and submit pricing.<br>

2. <mark style="color:$primary;">**Import Related Files:**</mark>

Import supporting documents and files related to the RFQ.<br>

3. <mark style="color:$primary;">**Send RFQ:**</mark>

Distribute the RFQ to selected vendors.<br>

4. <mark style="color:$primary;">**Request Modification:**</mark>

Request updated pricing or revisions from vendors after reviewing submitted bids.<br>

5. <mark style="color:$primary;">**Level Bids:**</mark>

Compare multiple vendor responses side-by-side to evaluate pricing and scope differences.<br>

6. <mark style="color:$primary;">**Manually Award:**</mark>

Award a vendor manually when pricing is received outside of the BuilderTek vendor portal.<br>

7. <mark style="color:$primary;">**Award Vendor:**</mark>

Select a vendor and officially award the RFQ.<br>

8. <mark style="color:$primary;">**Delete Vendor:**</mark>

Remove a vendor from the RFQ distribution list.<br>

9. <mark style="color:$primary;">**Cancel Vendor:**</mark>

Cancel a vendor's participation in the RFQ process.<br>

10. <mark style="color:$primary;">**Cancel RFQ:**</mark>

Cancel the RFQ entirely. Vendors will automatically receive notification that the RFQ has been cancelled.<br>

Many of these options remain inactive until vendors have been added and the RFQ process has begun.

**12. Activity & Communication Center**

The bottom section of the RFQ Dashboard serves as the activity hub for the entire bidding process. This area tracks communication, vendor activity, and bid progress in real time.

Available views include:

1. <mark style="color:$primary;">**All**</mark>

Displays all activity related to the RFQ, including emails, bid submissions, modification requests, and vendor updates.<br>

2. <mark style="color:$primary;">**New**</mark>

Shows newly received vendor responses and activity.<br>

3. <mark style="color:$primary;">**Email Sent**</mark>

Displays all emails sent by internal users.<br>

4. <mark style="color:$primary;">**Quote Submitted**</mark>

Shows vendor quotes submitted through the RFQ process.<br>

5. <mark style="color:$primary;">**Email Resent**</mark>

Tracks reminder emails and modification requests sent to vendors.<br>

6. <mark style="color:$primary;">**Awarded**</mark>

Displays awarded vendors and associated bid information.<br>

7. <mark style="color:$primary;">**Vendor Declined**</mark>

Lists vendors who declined participation in the RFQ.<br>

8. <mark style="color:$primary;">**Modification Requests**</mark>

Shows all modification requests sent to vendors.<br>

9. <mark style="color:$primary;">**Modification Submitted**</mark>

Displays revised pricing submitted in response to modification requests.<br>

This section provides complete visibility into the vendor bidding process and serves as the communication history for the RFQ.
