# Funding Dashboard

## Understanding the Funding Dashboards

BuilderTek provides two primary dashboards for managing and tracking funding activity. Each dashboard serves a different purpose and gives a different level of visibility into your funding records.

The first dashboard is the **Manage Program Funds Dashboard**. This is the consolidated view of all funding transactions in your organization. From this screen, you can view every fund that has been created, along with key information such as the funding source, requested amount, received amount, status, and overall funding activity. This dashboard is used to monitor funding at a high level and to open any individual funding transaction for detailed review.

The second dashboard is the **Funding Transaction Dashboard (Fund Screen)**. This is the detailed view of a single fund. Here you can track the complete lifecycle of that funding transaction, including:

* Total amount requested
* Total amount received
* Amount allocated
* Amount reserved
* Amount disbursed
* Payment history
* Allocation history
* Connected projects
* Related financial activity

Together, these two dashboards provide both organization-wide funding visibility and transaction-level financial control.

In the following sections, we will explore each dashboard in detail and understand the purpose of every section, button, and data view available on these screens.

### A. Manage Program Fund

The Manage Program Funds dashboard is the consolidated view of all Funding Transactions created in BuilderTek. It gives you a high-level picture of your organization's funding portfolio, while also allowing you to open any individual fund and view its complete financial details.

As the number of Funding Transactions grows, this dashboard becomes the central place to search, filter, monitor, and manage your funds.

#### New Funding Transaction

Use **"New Funding Transaction"** to create a new funding record.

You can create a transaction when you have applied for funding, expect to receive a grant, or have been awarded funding from a funder or funding organization.

Clicking this button starts the Funding Transaction creation process.

#### Total Funds

**Total Funds** displays the total number of Funding Transactions currently created in your BuilderTek system.

For example, if the dashboard displays 21, it means 21 Funding Transactions have been created and are being tracked in BuilderTek.

#### Total Awarded

**Total Awarded** shows the total amount of funding that has been awarded or committed by funders but has not yet been received.

This gives you visibility into funding that has been approved but is still pending receipt.

#### Total Received

**Total Received** shows the total amount of funding that has actually been received against your Funding Transactions.

This amount is based on the payment installments recorded in BuilderTek.

#### Received & Available to Fund

This value shows how much of the received funding is currently available for allocation.

BuilderTek calculates this by considering the amount received and subtracting amounts that have already been reserved for projects or other funding activities.

This provides a quick view of how much funding is still available to be allocated.

#### Filter Options

As your organization creates more Funding Transactions, manually searching through the list can become difficult.

The **Filter** options allow you to quickly narrow down the records you need.

You can filter Funding Transactions by:

* Name
* Status – Active or Inactive
* Year

Use these filters to quickly locate a specific fund or view a particular group of funding transactions.

#### Funder

The **Funder** identifies the account associated with the Funding Transaction.

As explained in the Funding Structure section, each funder has an account in BuilderTek. A Funder Account can have multiple Programs, and each Program can have multiple Funding Transactions.

This relationship allows BuilderTek to maintain a clear connection between the **Funder → Program → Funding Transaction**.

#### Program

The **Program** identifies the funding program under which the Funding Transaction was created.

A Funder Account can have multiple Programs, and each Program can be connected to multiple Funding Transactions.

This field helps you quickly understand which program the funding belongs to.

#### Funding Transaction

The **Funding Transaction** column displays the name of each individual funding record.

This is the specific fund under which you will track received payments, allocations, reserves, utilization, and connected projects.

#### Start & End Date

The **Start Date** and **End Date** define the active period of a Funding Transaction.

These dates are established when the Funding Transaction is created and help your team understand the timeframe in which the funds are expected to be utilized.

#### Status

The **Status** indicates whether a Funding Transaction is currently **Active** or **Inactive**.

If an end date is defined for the transaction, BuilderTek will automatically mark the Funding Transaction as **Inactive** once that date is reached.

This helps ensure that funds are utilized within the permitted funding period.

#### Awarded

The **Awarded** amount represents the total funding committed or approved by the funder for that particular Funding Transaction.

This gives you an immediate view of the total value of the fund without opening the individual Funding Transaction.

#### Received

The **Received** amount represents the total payments or installments that have actually been received from the funder.

As additional payments are recorded, this amount updates to provide an accurate picture of how much of the awarded funding has been received.

#### Receipt Progress

Receipt Progress provides a visual representation of the funding activity associated with each transaction.

The color-coded progress bar gives you a quick view of how the fund is progressing based on amounts received, reserved, and utilized.

The percentage displayed also helps you understand the proportion of the fund that remains available.

This makes the progress bar a quick visual snapshot of fund utilization without requiring you to open the individual Funding Transaction.

#### Reserved

Reserved shows the amount of funding that has been set aside for specific projects or funding activities.

Reserved funds are committed to those allocations and are not available for other uses until the reservation is released or otherwise updated.

#### Utilized

Utilized shows the amount of funding that has already been used for payments or other completed financial activities.

This helps you understand how much of the received funding has actually been spent.

#### Available

Available shows the amount of funding that remains available for future allocation or utilization.

It provides a quick view of the remaining funding capacity within each transaction.

#### Open

The **"Open"** button takes you from the consolidated Manage Program Funds dashboard into the detailed **Funding Transaction Dashboard** for that specific fund.

From there, you can explore the complete financial picture of the transaction, including payments, allocations, reserved funds, utilized amounts, available funds, connected projects, and transaction history.

In simple terms: the Manage Program Funds dashboard gives you the **funding portfolio view**, while the Open action takes you into the **individual fund view** for detailed management.

## B. Funding Transaction Record

The **Funding Transaction Record** is the detailed view of an individual fund. While the **Manage Program Funds** dashboard gives you a consolidated view of all funding transactions, this screen gives you the complete picture of one specific fund—how much was awarded, how much has been received, how much is reserved, how much has been utilized, and how much remains available.

### How to Access the Funding Transaction Record

From the **Manage Program Funds** dashboard, locate the Funding Transaction you want to review and click **"Open"** or select the fund itself.

BuilderTek will take you to the detailed Funding Transaction Record.

### Funding Transaction Details

The top section of the Funding Transaction Record provides a quick snapshot of the fund and its current financial position.

#### Name, Status & Last Updated

This section displays the basic identity and current status of the Funding Transaction.

You can see:

* Funding Transaction Name
* Current Status
* Last Updated Date

This helps your team quickly identify the fund and understand whether it is currently active.

#### Edit

Use the **"Edit"** option to update information associated with the Funding Transaction.

Depending on your configuration, you can update details such as:

* Funding Transaction Name
* Start or End Date
* Amount Received
* Associated Program

Make the required changes and save the record to keep the funding information current.

#### Record Payment

The **"Record Payment"** button allows you to record incoming payments against the Funding Transaction.

A single fund can receive multiple payments over time. For example, a fund awarded for $500,000 may be distributed to your organization through several installments as the project progresses.

Each payment can be recorded separately, creating a complete history of funds received.

#### Awarded Amount

The **Awarded Amount** represents the total amount committed or approved by the funder for this Funding Transaction.

It provides the starting point for understanding the overall value of the fund.

#### Received Amount

The **Received Amount** shows how much of the awarded funding has actually been received and recorded in BuilderTek.

As additional installments are received and recorded, this amount is updated.

#### Reserved to Projects

The **Reserved** amount shows how much of the received funding has been set aside for projects.

Reserved funds are committed to specific project requirements and are not available for other allocations until they are released or otherwise updated.

#### Utilized Amount

The **Utilized Amount** represents the portion of the fund that has already been used for project-related expenses or payments.

This gives you a clear picture of how much of the received funding has actually been spent.

The **Available** amount shows how much funding remains available for future project allocations and utilization.

It gives your team an immediate view of the remaining funding capacity without requiring a detailed calculation.

The **Availability** section provides a quick view of the funds currently available for utilization.

Use **"View Funding Usage"** to open a more detailed view of how the fund has been allocated and utilized across projects.

## Funding Transaction Record Views

The Funding Transaction Record is organized into four main views:

1. Overview
2. Payments
3. Allocations
4. Activity

Each view provides a different perspective of the same Funding Transaction.

### Overview

The **Overview** is the primary dashboard for the Funding Transaction. It provides a visual summary of the fund's current position and recent activity.

#### Funding Position

Funding Position provides a visual representation of the complete funding lifecycle.

The color-coded chart shows how the fund is currently positioned across different stages, including:

* Amount received
* Amount reserved
* Amount utilized
* Amount remaining or due

The percentages provide a quick understanding of how much of the fund has moved through each stage.

#### Funding by Project

The **Funding by Project** view breaks down the fund at the project level.

Instead of looking at the fund as one total amount, you can see how funding is distributed across individual projects.

This allows you to understand:

* Which projects are using the fund
* How much is allocated to each project
* How much each project has utilized
* The overall distribution of the fund across projects

The graphical representation makes it easier to identify where the funding is being used.

#### Receipt Position

The **Receipt Position** shows how much funding has been received compared with the total amount awarded.

This provides an immediate view of the progress of incoming funding.

You can also use this section to **record a payment** when a new installment is received, without leaving the Funding Transaction dashboard.

#### Recent Activity

The **Recent Activity** section provides a quick snapshot of the latest activity associated with the fund.

Activities are color-coded to make them easier to identify at a glance. For example:

* Blue – Awarded
* Green – Received
* Red – Reserved
* Orange – Utilized

This gives users a quick visual understanding of what has recently happened with the fund.

For the complete history, use the **Activity** tab.

### Payments

The **Payments** tab provides the complete history of all payments received against the Funding Transaction.

A Funding Transaction can receive multiple installments rather than one single payment.

For example, if a fund has been awarded for $500,000, the funder may distribute the amount in several installments as project work progresses. Each installment can be recorded separately in BuilderTek.

The Payments screen records details such as:

* Number of payments received
* Payment amount
* Date received
* Payment method
* Other recorded payment information

This creates a complete payment history for the Funding Transaction.

It also provides your team with a reliable financial record that can be referenced for future reporting, reconciliation, and audits.

### Allocations

The **Allocations** tab provides a project-level view of how the Funding Transaction has been distributed.

Here, you can see the projects connected to the fund and understand how much funding has been:

* Reserved for each project
* Utilized by each project
* Allocated across different project requirements

Each project can be expanded using the **dropdown arrow** next to the project name.

This allows you to drill further into the funding activity and understand how the allocated amount is being used within that specific project.

For example, if one Funding Transaction supports multiple projects, you can review each project separately from this screen rather than navigating to each individual Project record.

This provides a centralized view of every allocation and helps your team track where each portion of the fund is going.

### Activity

The **Activity** tab provides the complete history of actions and financial changes associated with the Funding Transaction.

Every important funding event is recorded here, including activities such as:

* Funding awarded
* Payments received
* Funds reserved
* Funds released
* Funds utilized
* Other funding-related updates

The latest activity is also **color-coded** to make the history easier to scan.

For example:

* Blue – Awarded
* Green – Funds received
* Red – Funds reserved
* Orange – Funds utilized

This allows your team to understand the fund's history visually, without having to read through every individual entry.

The Activity page serves as the **complete historical record** of the Funding Transaction, providing a clear audit trail of how the fund has changed from the time it was created through its ongoing allocation and utilization.

### One Fund. Complete Visibility.

Together, these four views give your team a complete picture of an individual Funding Transaction:

* **Overview** → Understand the current position
* **Payments** → Track every installment received
* **Allocations** → See where the funding is reserved and utilized
* **Activity** → Review the complete history of the fund

This makes the Funding Transaction Record the central **fund-level view** for monitoring, managing, and reviewing funding activity in BuilderTek.
